Team Handbook

Welcome to the Woodmont Wahoos! We are thrilled to have you join our summer swim team. The Woodmont Wahoos are a recreational summer swim team participating in the Atlanta Swim Association (ASA) league. Our primary goal is to provide a fun, supportive environment where swimmers ages 5–18 can build skills, confidence, friendships, and a love for the sport while experiencing friendly competition.

The summer swim league emphasizes enjoyment, teamwork, and personal development over winning alone. This handbook consolidates key information for both new and returning families.


Team Overview

League: Atlanta Swim Association (ASA)

Eligibility: All swimmers must be able to confidently swim 25 yards (one length of the pool) unassisted, using any stroke.

Ages: 5–18 years old as of May 31. Swimmers may practice outside their age group. Younger swimmers may be moved up for events or relays if needed.

Season: Practices begin in early May. Dual meets run 4–5 weeks in late May and June, with opportunities to qualify for championship meets.

Attendance: No strict requirement, but 80–90% attendance is strongly encouraged.

Communication: Swimtopia website/ BAND app, email, and team Facebook page.

Registration

  • Registration opens February 1 via Swimtopia.
  • Fees include ASA dues, ribbons, team activities, and concessions support.
  • Late registration begins mid-April (higher ASA fees may apply).
  • Coaches receive a waiver for team dues but must still pay ASA dues.

Practices

  • Practices focus on stroke technique, endurance, starts, turns, and fun.
  • Schedules are posted on Swimtopia and organized by age group.
  • Swimmers should bring goggles, cap, athletic shoes, and water.
    • Female swimmers must always wear a swim cap.
    • Male swimmers are highly encouraged to wear swim caps.
  • Children 10 & under must have adult supervision at all times.
  • Siblings may not play on pool steps during practice.

Coaches

  • Our coaching staff includes a Head Coach, Assistant Coaches, and Junior Coaches.
  • Coaches emphasize encouragement, skill development, and team spirit.
  • Please remember many of our coaches are young adults who love sharing the sport with younger swimmers.

Swim Meets

  • Warm-Up Schedule
    • Home Meets: Warm-up 5:00 pm | Report by 4:45 pm
    • Away Meets: Warm-up 5:30 pm | Report by 5:15 pm
      • If coaches have not been notified of a swimmer’s absence and the swimmer does not arrive by warmups, they may lose their spot on a relay team.
  • All meets begin at 6:00 pm and typically conclude around 10:30 pm, weather permitting.

Meet Declarations

  • Parents must declare swimmer availability by Sunday night of meet week via Swimtopia.
  • Late declarations may limit participation.

Event Selection

  • Coaches determine individual events and relays using mock meet times, past performance, and computer-generated scoring optimization.
  • Direct questions to the Head Coach outside of meet or practice times.

What to Bring to Meets

  • Team suit, cap (extra cap recommended), goggles (2 pairs)
  • 3–4 towels
  • Blanket, robe, or warm sweatshirt
  • Sunscreen
  • Snacks and water
  • Sharpie marker (for event numbers)
  • Chairs/tent for shade
  • Camera/phone
  • A positive attitude

Inclement Weather Policy

  • In dangerous weather, officials determine delays.
    • After the last clap of thunder, a minimum 15-minute wait is required before resuming.
    • Delays over 1 hour may result in the meet being called.
  • A meet is official after the 46th event (scoring heat only) is completed.

Age Divisions

  • 6 & Under
  • 7–8
  • 9–10
  • 11–12
  • 13–14
  • 15–18
  • Swimmers compete in their age group for individual events and may move up one age group for relays only, as determined by coaches.

Event Limits & Events Offered

  • Each swimmer may swim a maximum of 2 individual events + 2 relays per meet.
    • 6 & Under: 25 Free, 25 Back, 100 Free Relay
    • 7–10: 25 Free/Back/Breast/Fly, 50 Free, 100 IM, 100 Free Relay, 100 Medley Relay
    • 11–18: 50 Free/Back/Breast/Fly, 100 Free, 100 IM, 200 Free Relay, 200 Medley Relay
    • Stroke Order Reference
      • 100 IM: Butterfly → Backstroke → Breaststroke → Freestyle
      • 100 Medley Relay: Back → Breast → Fly → Free
      • 200 Medley Relay: Back → Breast → Fly → Free

Points & Scoring

  • Ribbons are awarded based on how a swimmer finishes within their heat.
  • Team scoring points are awarded from Heat 1 only:
    • 1st – 5 points
    • 2nd – 3 points
    • 3rd – 1 point

Volunteer Requirements

  • The Wahoos rely entirely on parent volunteers.
  • Each family must complete 4–8 volunteer points or pay a $400 opt-out fee.
    • Failure to complete volunteer requirements will result in a fee or other consequences
  • Roles include (but are not limited to):
    • Bullpen
    • Timers
    • Runners
    • Place Judges
    • Concessions/Grill (home meets)
    • Golf Cart Shuttle

Parent Expectations and Code of Conduct

  • Support your swimmer with positivity and encouragement.
  • Volunteer enthusiastically—parent involvement builds our community.
  • Respect coaches, officials, and other families at all times.
  • Communicate any concerns to team coordinators or the Head Coach outside of practice or meet times.
  • Emphasize fun, effort, and sportsmanship over results.

Swimmer Code of Conduct

  • All Wahoos swimmers are expected to:
    • Treat coaches, teammates, opponents, officials, and parents with respect at all times.
    • Listen to and follow coaches’ instructions during practices and meets.
    • Demonstrate good sportsmanship by cheering for teammates, congratulating opponents, and accepting outcomes gracefully.
    • Arrive on time and be ready to participate with the appropriate gear.
    • Take good care of team and pool equipment.
    • Represent the Wahoos in a positive manner—avoid inappropriate language, bullying, or unsportsmanlike behavior.
    • Focus on personal improvement, effort, and having fun!
  • Violations of this code may result in discussions with coaches or parents, and in rare cases, removal from events or the team.

Disciplinary Procedures

  • The following outlines potential actions and consequences. The levels below may be applied at the discretion of the Coach and/or Team Coordinator and do not have to occur in sequence.
  • Level One: The athlete will be reprimanded by the coach and reminded that continued improper behavior may result in dismissal from the team. Depending on the severity of the infraction, the swimmer may be removed from a practice or meet and must meet with the coach before returning.
  • Level Two: The athlete will be reprimanded by the coach, sent home from practice or a meet, and will not be allowed to return until the swimmer and a parent meet with the coach.
  • Level Three: The athlete will be immediately suspended. The length of the suspension will be determined by the Coach and Team Coordinator based on the severity of the behavior.

  • Seasonal events include picture day, clinics, pep rallies, championships, and the end-of-season banquet.
  • Home meets feature concessions and Kona Ice.
